We concluded our summer webinar series on Thursday, June 21st with an introduction to the new features available in our soon-to-be-released SharePoint Connector Version 2.0 for Oracle WebCenter Content. Version 2.0 includes user interface enhancements, such as visual and text cues to where content is stored or managed, which have been exposed in both SharePoint and Oracle WebCenter. We also discussed improvements that have been made with version control, where in Version 2.0 SharePoint admins can either enable or disable versioning, as well as determine if only major versions of content should be created (1, 2, 3, 4) or major and minor versions (1.0, 1.1, 1.2. 2.0). These settings determine which versions of content created in SharePoint get stored in Oracle WebCenter, as well as ensure that version numbers between the two systems match. Another new feature we highlighted is how connector configurations at the SharePoint Site Collection level can be inherited at the Site, Document Library and Folder level. This feature will decrease the amount of configurations SharePoint admins will have to make at each level, thereby decreasing overall time to production.

Q: Does file deletion from SharePoint delete the file in UCM also? Vice versa?
A: This is configurable. Deletes from SharePoint can either delete minor/major versions from WebCenter Content, or SharePoint deletes would have no effect on content in WebCenter.
Q: How is the connector licensed?
A: Per SharePoint Server instance.
Q: Does a metadata change made inside SharePoint get updated in WebCenter Content as well?
A: Yes. Metadata is key for retention rules and compliance and therefore must be correctly mapped between the two systems. Anytime a “mapped” value in SharePoint gets updated, this metadata change is reflected in WebCenter Content as well.
Q: If the metadata mapping from SharePoint misses a required field in WebCenter Content, what happens?
A: If a required metadata value is not mapped, the SharePoint content item will be stored in SharePoint, but a note will be appended to the log file so that SharePoint administrator can rectify this problem.
Q: How is retention handled for content in WebCenter from SharePoint?
A: Fishbowl’s SharePoint Connector Version 2.0 for Oracle WebCenter Content does not facilitate retention rules that your organization may be looking to enforce. However, the connector contains configuration settings for what actions WebCenter Content should take when content is checked in, edited and deleted from SharePoint. Effectively, once the connector has been configured to add SharePoint content to Oracle WebCenter, it is up to your organization to determine its retention rules regarding content.
Q: Is Fishbowl’s SharePoint Connector Version 2.0 Beta available for SharePoint 2007 also.
A: No. Fishbowl’s SharePoint Connector Version 2.0 only support Microsoft SharePoint 2010. However, we have worked with companies running SharePoint 2007 and have engaged with them on custom consulting projects to support WebCenter Content storage from SharePoint 2007 environments.
Q: If you import web center content that you know is constantly updated, can you set it so that it maintains within the SharePoint library?
A: No. Fishbowl’s SharePoint Connector Version 2.0 for Oracle WebCenter Content is not bi-directional. Check ins, edits, deletes occur in SharePoint and are reflected in Oracle WebCenter Content.
Q: If someone authors a MS-Word document from SharePoint can IBR (Inbound Refinery) still work to convert MS-Word document to PDF for publishing on a WebCenter portal page?
A: Yes. The PDF or “Web” viewable format inside WebCenter Content is generated as if the file was uploaded through WebCenter Content.
Q: How does the connector interface with URM? Can you talk about how it works with records?
A: Fishbowl’s SharePoint Connector Version 2.0 does not specifically work with Oracle WebCenter Records Management (URM). The connector facilitates the transfer of content and associated data from SharePoint and into Oracle WebCenter Content. Once there, the content can be further managed by WebCenter Records Management.
Q: Is there any option in the SharePoint document checkin window to add WebCenter Content (UCM) custom metadata fields like Expiration Date?
A: Yes. This is supported by configuration.
Q: Once a WebCenter Content document is imported into SharePoint, would it still be editable in WebCenter Content (checkout, checkin, update)?
A: No. Once WebCenter Content items are imported/added to SharePoint they are transformed into managed SharePoint content and will be locked down from editing in WebCenter Content. Furthermore, managed SharePoint items cannot be checked out from WebCenter Content.
